FORMS ANALYST 3

JOB CATEGORY SUMMARY:

A position in this job category typically supervises the work of other employees; designs forms for printer capability; writes narrative letters or reports; analyzes forms for determination of effectiveness, possible change, or update; evaluates the need for forms; approves final design of forms; consults with outside agencies or individuals about information necessary for job.

CHARACTERISTIC TASKS:

Plans, organizes, and assigns the work of the organizational unit and evaluates employee performance and conduct, enabling the effective recommendation of the hiring, firing, promoting, and disciplining of subordinates.

Designs forms for printer capability.

Develops formats for printed material.

Determines format, size, and arrangement of forms. Determines sequence of information on forms.

Edits written material.

Evaluates the need for forms.

Authorizes reproduction of printed material.

Approves final design of forms.

Determines quantity of forms for printing.

Analyzes forms for determination of effectiveness, possible change, or update

Designs office forms such as invoices and production sheets.

Recommends modification of agency forms.

Modifies agency forms.

Designs layouts of graphic or printed materials, including brochures, newsletters, forms, reports, leaflets, or booklets.

Composes mechanicals.

Writes specifications for forms design.

Proofreads material for accuracy.

Reviews form specifications for bid proposals.

Determines leading for forms.

Directs (coordinates) activities between or within agencies.

Selects paper stock.

Interviews individuals for needed information.

Informs individuals of procedures necessary for completion of forms or applications.

Consults with outside agencies or individuals about information necessary for job assignments.

Meets with groups at seminars, public meetings, or conventions as a representative of the agency.

Informs users or production staff of existing, updated, or modified forms.

Makes (produces) camera-ready copy.

Glues (pastes-up) material or copy for printed products.

REQUIREMENTS:

NOTE:Applicants must meet one of the following or a combination of both experience and education. Thirty (30) semester-hour credits are equal to one (1) year of relevant experience.

Seven (7) years of professional experience in form control, analysis, and design; and copy preparation, composition, and layouts.

OR

Possession of a bachelor's degree from an accredited college or university; and three (3) years of the above-mentioned professional experience. NOTE:"Professional experience" refers to work that is creative, analytical, evaluative, and interpretive; requires a range and depth of specialized knowledge of the profession's principles, concepts, theories, and practices; and is performed with the authority to act according to one's own judgment and make accurate and informed decisions.

LICENSE:

Appointee will be required to possess a driver's license valid in New Jersey only if the operation of a vehicle, rather than employee mobility, is necessary to perform the essential duties of the position.

CHARACTERISTIC KNOWLEDGE, SKILLS, AND ABILITIES:

Knowledge of methods and procedures of forms control.

Knowledge of standard English grammar; for example, syntax, punctuation, verb agreement, or tense.

Knowledge of principles and techniques of forms design.

Knowledge of basic interviewing techniques.

Knowledge of principles of report writing.

Knowledge of postal service specifications for placement of wording on envelopes, postcards, or other mailed, printed materials.

Knowledge of layout techniques.

Knowledge of the principles and techniques of copy preparation, composition and layout

Knowledge of principles and techniques of supervision.

Knowledge of layout specifications for printing.

Knowledge of administrative principles and practices.

Knowledge of types and weights of paper stock.

Skill in using drafting instruments.

Ability to collect data through questioning.

Ability to compare written or printed material for accuracy.

Ability to determine leading for forms.

Ability to edit rough or final copy for form, accuracy, and clarity.

Ability to establish goals and set priorities.

Ability to schedule and organize work activities for others.

Ability to use layout equipment and tools.

Ability to read and interpret laws, rules and regulations.
