Job Specification

SUPERVISOR OF MOTOR POOL

DEFINITION

Under the direction, supervises and coordinates the activities of a unit 
involved in scheduling the use, assignment, and maintenance of motor 
vehicles; does other duties as required.

NOTE:  The examples of work for this title are for illustrative purposes

EXAMPLES OF WORK:

Schedules and assigns motor vehicles to authorized personnel on a 
priority basis.

Periodically inspects motor vehicles and schedules repair and service 
work.

Procures state required certificate of ownership and arranges for the 
registration and state inspection of vehicles.

Supervises the storage and safekeeping of vehicles when not in use.

May arrange for insurance coverage on the vehicles.

Establishes and maintains and inventory of all motor vehicles.

Evaluates the condition and recommends the replacement of motor 
vehicles.

May negotiate with vendors to purchase motor vehicles and automotive 
equipment and supplies.

Supervises the recording of expenses and analyzes purchase and 
repair costs in order to control expenditures.

Supervises the assignment of motor vehicles to drivers.

Compiles list of available vehicles.

Supervises the issuance of keys, record sheets, and credentials to 
drivers.

Supervises the keeping of records of departure, destination, and 
expected time of return and fuel consumption.

Supervises the establishment and maintenance of records and files.

Prepares reports.

Will be required to learn to utilize various types of electronic and/or 
manual recording information systems used by the agency, office 
or related unit.

REQUIREMENTS:

EXPERIENCE:

Three (3) years of experience in coordinating a large scale fleet 
of motor vehicles which entailed responsibility for the maintenance 
and servicing of vehicles as well as the leasing or assignment of 
vehicles to individuals.

LICENSE:

Appointees will be required to possess a driver's license valid in 
New Jersey only if the operation of a vehicle, rather than employee 
mobility, is necessary to perform essential duties of the position.

KNOWLEDGE AND ABILITIES:

Knowledge of the fiscal, administrative, personnel, and other 
facets involved in coordinating the use, storage, maintenance, 
and repair of motor vehicles.

Knowledge of the programs of the organization or jurisdiction 
requiring the use of motor vehicles.

Knowledge of current car assignment including commuting use 
and storage.

Knowledge of motor of motor vehicle fleet management program 
in a large business or government organization.

Ability to organize work involving the use, storage, maintenance, 
repair, and replacement of all motor vehicles and related equipment 
owned by the organization or jurisdiction.

Ability to devise procedures on the use and storage of a large fleet 
of motor vehicles.

Ability to coordinate the servicing, maintenance, and repair of 
vehicles for maximum efficiency.

Ability to review the practices concerned with motor vehicle using 
and replacements and to suggest the best type of vehicle and 
accessories to insure maximum economy.

Ability to work with others.

Ability to draft correspondence.

Ability to prepare reports of the motor vehicle management program.

Ability to maintain records and files.

Ability to learn to utilize various types of electronic and/or manual 
recording information systems used by the agency, office or related 
units.

Ability to read, write, speak, understand, or communicate in English 
sufficiently to perform the duties of this position.  American Sign 
Language or braille may also be considered as acceptable forms 
of communication.
